Access Executive Desktop Alerts
Business intelligence from Access Accounting
The Executive Desktop Alerts module monitors the accounts, looking for a number of pre-determined events (or 'Alert Criteria'), such as the creation of new customer or supplier records. When such an event occurs, it automatically triggers an 'Alert Action' - sending your business intelligence via e-mail, report or Smart Tag or updating the Executive Desktop coversheet for specified users.
Alert Criteria
The speed and efficiency of any company's response to new business intelligence is limited by the admin skills of each person in the chain. Executive Desktop Alerts take this responsibility away from the individual, by fully automating the business intelligence communication process:
Entering New Records - Use alerts to notify staff when records are added to improve customer service. For instance, when a new customer goes onto the system, the regional sales rep and customer service manager can be notified automatically.
Entering New Orders (Sales & Purchase) - Help ensure that orders are handled efficiently, by immediately notifying staff of any factors that prevent an order progressing, such as accounts on stop or over terms, and orders exceeding a specified value.
Updating Customers & Supplier Records - Advise credit controllers and others involved in the ordering process (even customers & suppliers) the moment an account is placed on stop. Unlike many systems, Executive Desktop Alerts also cover the reverse scenario - accounts returning to within limits and being taken off stop.
New Invoice / Invoice Register Item - Ensure the timely authorisation of supplier invoices. Updating Nominal Accounts & Costing Projects - Keep project managers and budget holders up to date with all project developments, including exceeded budgets and changes of customer.
Changes to Stock Levels - Optimise stock levels and facilitate JiT stock management by automatically advising your stock manager whenever stock falls below minimum (or rises above maximum).
Alert Actions
A single event can trigger any or all of the following actions:
Send Plain Text E-mail - Notifies selected recipient(s) that alert criteria have been met and further action is required.
Send Smart Tag by E-mail - Incorporates a Smart Tag into the alert e-mail. For example, if credit limits have been exceeded, e-mails primed with Smart Tags for the relevant customers can be sent to sales reps, account handlers and so on. Send Executive Desktop Report by E-mail - A full Executive Desktop report can be sent to selected recipient(s) when alert criteria have been met.
Update Executive Desktop Coversheet - Users of Executive Desktop can choose to have their favourite reports updated only when the information they contain changes (rather than at set intervals). This option is very useful for companies seeking to adopt Management by Exception.
